SIGNING ON

  • First, your supervisor or adviser needs to work with Michael Wehrenberg to grant you server access. He needs your name, 4×4 and which servers you require to approve that.  
  • Sign on to the servers remotely (instructions in that link) with the user name sooner\(your 4×4) and your universal OU password. The server names are:
    • smb://norfile.net.ou.edu/SA-STUDENTMEDIA/News
    • smb://norfile.net.ou.edu/SA-STUDENTMEDIA/Advertising

  • Ad designers should build pages, with ads completed, quality-checked, placed and linked, by noon Friday ahead of weekend production shifts. 
  • At all times, save them on the server in the lowest possible format available in InDesign, most often “InDesign CS4 or later (IMDL)”. Doing so will allow us to open files across locations without version complications. 
  • Separately, create and upload, or coordinate with Michael Wehrenberg, the fax packet that gives the Transcript full printing instructions. 
  • Individual pages or Pages 1 and 2 of the newspaper – but not a single file with all pages in a publication – should be placed on the news server once ready based on this file path, with the following naming convention oud-2020-01-27-a-001,002.indd

AD | BUILDING MAGAZINE PAGES

  • Ad designers should build pages, with ads completed, quality-checked, placed and linked, by the deadlines agreed to in the publications calendar for special publications.
  • At all times, save them in the lowest possible format available in InDesign, most often “InDesign CS4 or later (IMDL)”. 
  • In advance, ad and news student leaders should be in regular discussions about sales progress and expected page counts. 
  • Separately, they must create and upload, or coordinate with Michael Wehrenberg, the fax packet that gives the Transcript full printing instructions if it’s a newsprint job. Separately, they must coordinate with Seth Prince and Printing Services if it’s a slick magazine job. 
  • Individual pages – not a single file with all pages in a publication – should be placed on the news server once ready based on this file path, with the following naming convention MAG-2020-02-25-001.indd

NEWS | DESIGNING ALL PAGES

  • News designers should be in coordination with their ad counterparts as needed throughout the process. 
  • On newspaper pages, you’ll almost always design in finished pages. On special publication and magazine pages, you’ll almost always design ahead in template pages and then copy over and relink your work in finished pages in coordination with ad. You may not move any ads without clear approval from the ad department.
  • At all times, save pages on the server in the lowest possible format available in InDesign, most often “InDesign CS4 or later (IMDL)”. Doing so will allow us to open files across locations without version complications.
